BEFORE WE QUOTE

START WITH THE RUNNING ORDER

Tell us how the conference works before deciding what kit it needs

Conference panel talk live streaming

You do not need to specify the technical solution.

Send the venue, date and running order. Once we know the speakers, sessions, slides, audience interaction and viewing arrangements, we can recommend a practical setup.

How many rooms, sessions and speakers are we covering?

A single keynote is very different from a full day of panels and presentations. Send the running order, speaker list and any room changes so the crew and camera plan match the programme.

How many cameras do you need — and should one roam?

One or two cameras may cover a straightforward presentation. Three or four angles can give panel discussions, stage movement and audience reaction more natural coverage. A roaming camera is particularly useful for audience Q&A.

Do slides, videos or presentation feeds need to appear in the stream?

If the room audience sees PowerPoint, video or another presentation source, the remote audience may need to see it too. Tell us what is being displayed and how the venue AV is being run.

How will panel audio and audience questions be handled?

Good pictures are useless if viewers cannot hear the discussion. We can work with radio microphones and venue sound-desk feeds, but need to know the room audio plan before setup.

Is this a one-way stream or a Teams / Zoom hybrid conference?

For a standard one-way web stream, our LiveU Solo Pro workflow can combine mobile connections where suitable. Microsoft Teams and Zoom require secure, reliable venue internet because the production needs a stable two-way connection.

What do you need from the conference afterwards?

The live programme can be retained as a complete recording, or we can quote for individual talks, panel sessions, highlights, interviews or shorter social edits. It helps to know this before filming.

Can the crew get the equipment safely into the venue?

Multi-camera conference work involves cameras, tripods, sound, switching equipment, monitors and cases. Safe on-site parking or secure venue loading close to the building is essential, together with enough access time to build and test before delegates arrive.

PANEL DISCUSSION EXAMPLE

A conference stream should feel produced for the online audience

With several speakers on stage, the viewer needs more than one distant wide shot. Multi-camera coverage allows the live programme to move between speakers, wider context and the room as the discussion develops.

The same recording can then be retained for individual sessions or edited material after the event.

CONFERENCE COVERAGE

The stream changes as the programme changes

Keynotes & presentations

Speaker coverage combined with presentation material where the remote audience needs both.

Panel discussions

Multiple angles help viewers follow who is speaking without losing the wider discussion.

Audience Q&A

A roaming camera and suitable microphone arrangement can bring questions into the programme properly.

Hybrid contributors

Remote speakers and delegates can be incorporated when the platform and venue connection are planned in advance.

THE PRODUCTION

Cameras, sound, slides and streaming planned together

Up to four camera angles

Coverage can combine fixed and operated cameras according to the room, stage layout and programme.

Roaming camera for audience questions

Useful when questions, demonstrations or activity move away from the main stage position.

Professional conference sound

We can use radio microphones or work with a feed from the venue sound desk so speakers and questions remain clear online.

Slides, videos and presentation feeds

Presentation sources can be incorporated into the programme where the venue AV setup provides a suitable feed.

Private, public or embedded viewing

Viewing access is agreed before the event, whether the conference is open, restricted or hosted on an agreed website.

Recording, individual sessions and highlights

Retain the complete programme or commission separate speaker edits, panel sessions, highlights or short promotional versions.

CONNECTIVITY & VENUE ACCESS

Decide the platform before deciding how the conference connects

For normal one-way streams, LiveU Solo Pro can combine mobile connections so the broadcast does not have to depend entirely on one venue Wi-Fi connection.

Teams and Zoom are different. Interactive hybrid conferences require secure, reliable venue internet because the production needs a stable two-way connection. LiveU Solo Pro is not used as a substitute for that connection.

Safe access is part of the technical plan. Multi-camera conferences require safe on-site parking or secure venue loading close to the building, plus sufficient setup time before the room fills with delegates.

AFTER THE CONFERENCE

One filming day can create several useful outputs

Full conference recording

Retain the complete live programme for replay, archive or internal use.

Individual talks & panels

Split the day into separate speaker sessions or panel discussions for easier viewing afterwards.

Highlights & short edits

Create a concise event film, interviews or shorter content for future promotion and communications.

CONFERENCE LIVE STREAMING FAQ

Practical questions before the conference

Can the conference stream be private?

Yes. Viewing can be restricted to invited delegates or hosted on a private page, with access arrangements agreed before the event.

Can you include PowerPoint slides and videos?

Yes, where the presentation system provides a suitable feed. We plan this with the venue or AV team before the conference.

Can remote speakers join through Teams or Zoom?

Yes, but interactive platforms require secure, reliable venue internet. We need to know this before the event so the conference is designed around the two-way connection.

Do you need to use the venue Wi-Fi?

Not necessarily for a standard one-way stream. LiveU Solo Pro can combine mobile connections where suitable. Teams and Zoom are different and require secure, reliable venue internet.

How many cameras are normally needed?

One or two can cover a simple presentation. Panels, audience questions and more complex stage activity may justify three or four angles, including a roaming camera.

Do we receive recordings afterwards?

Yes. The live programme can be retained for replay or download, and separate talks, panel sessions, highlights or other edits can be quoted where required.

How early do you need access to the room?

That depends on the cameras, microphones, presentation feeds, platform and venue. Multi-camera conferences need enough time to build and test properly before delegates enter the room.

What access and parking do you need?

For multi-camera work, safe on-site parking or secure venue loading close to the building is essential because of the quantity and value of the equipment being brought into the venue.

Planning a conference with remote viewers?

Send the venue, date, timings and running order. We will come back with a practical camera, sound, presentation, connectivity and streaming plan.
