Venue, date, event timings, access window and a rough running order are enough to start. For multi-camera work we also need secure on-site or venue-controlled parking. If you already know the viewing platform, audience size, preferred camera coverage or edits required afterwards, include those too.

Tell us where the event is, when the audience arrives and how much time the venue allows for loading, setup and testing.

Loading access and secure on-site parking

For multi-camera setups, secure on-site parking or a venue-controlled loading and parking area is essential because of the amount of camera, audio, switching and support equipment involved. Ideally it should be close to the room. Please flag height limits, loading restrictions or off-site parking before booking; unsecured public car parks are not suitable for production kit.

Running order and room layout

Speakers, panels, performances, breaks, audience questions and presentation content determine where cameras and microphones need to be.

Who is watching and where

Tell us whether viewers need a public stream, private access, an embedded player or an internal route, and roughly how many people are expected online.

What the venue or AV team is providing

A house PA, radio microphones, presentation feed, network connection or technician may already be available. We can work with the venue rather than duplicate equipment unnecessarily.

How many cameras do you need — and should one roam?

If you already have a camera count in mind, tell us. A roaming camera can be useful for audience questions, demonstrations, arrivals or movement around the room. If you are unsure, the running order and room layout are usually enough for us to recommend the right mix.

What do you need after the live stream?

Let us know whether the live recording is enough or if you also need highlights, individual talks or panels, social clips, vertical edits or another version. Planning this before the event helps us capture the material those edits will need.

We plan London logistics before the cameras go in

We plan for short loading windows, security checks, service-lift bookings, restricted cable routes and fixed house AV at city-centre venues. For multi-camera productions, we also require safe on-site parking or secure venue-controlled parking because of the amount of equipment being moved in and out. We do not use unsecured public car parks as a base for production kit.

We can liaise with the venue or its AV supplier about camera positions, sound feeds, presentation feeds, network access, power, loading, parking and the time available to build and test.

Useful things to send early: venue contact, room name, access and parking instructions, floor plan if available, house-AV details and the event running order.

What recording is available after the broadcast?

The switched live programme can be retained for replay or download. Individual talks, speaker clips, highlights and internal edits can also be planned when the footage needs to keep working after the event.

What access and parking does the crew need in London?

Multi-camera streaming requires a realistic loading and setup window plus secure on-site or venue-controlled parking for the production vehicle. Height limits, loading bays, service lifts, security procedures and restricted cable routes should be confirmed before booking.
